The Mind Project LLP operates The Mind Project website and coordinates mental health consultations in India. Our contact address is #8/1 2nd cross K.R.Vanam, Mysore 570008, India. We engage consultants on a contract basis; our HR team verifies their qualifications. This policy explains how we handle information when you enquire, request a consultation or receive care. 2. Information and purposes
We collect the name, email, phone number, selected service, preferred date/time, enquiries and consent choices that you provide. We use them to respond, coordinate appointments, manage your request and provide service support. Relevant clinical information may include symptoms, history, medications, assessments and treatment notes, used for evaluation, care and continuity. Our in-house application stores customer and care information; website enquiries and booking requests are handled through Wix. Please keep website notes to scheduling or accessibility needs and avoid uploading medical records or sensitive details through general enquiry forms.
Payment references, amounts and status support payment verification, billing and refunds. Payment is handled through Wix checkout with Razorpay. Do not send passwords, PINs or OTPs to us. Google Meet supports consultation calls. These services may process technical information needed to operate their systems, such as browser/device information and connection or security logs.
3. Choice, consent and recordings
The booking form requests consent to use your information to arrange care and share relevant details with your treating professional. It does not authorise unrelated research, promotional use or recording. Clinical consent for assessment or treatment is handled separately by the consultant. Consultations take place on Google Meet and are not recorded by The Mind Project or its consultants. Please do not record or share a session without everyone’s express permission. You may decline optional information or withdraw consent by contacting us. If essential information is unavailable, we will explain whether your requested service can continue.
4. Access and confidentiality
Authorised consultants involved in your care and the Clinical Director can access relevant customer and clinical information. Routine enquiry, scheduling and payment support use the information needed for those tasks. Wix provides the website and booking infrastructure; Razorpay processes payments through Wix checkout; Google Meet provides consultation communication. These providers process information necessary for their respective services under their applicable terms and privacy notices.
Mental health information is confidential. Any disclosure for care coordination, a serious safety situation, a lawful order or another legally permitted purpose must be limited to what is necessary and permitted under applicable law. HR qualification checks do not by themselves authorise access to patient clinical records. Please tell your consultant if another person is present during your consultation.
5. Retention, security and service providers
Our standard retention period is two years from the last relevant interaction or completion of care. Earlier deletion may be appropriate when information is no longer required. Clinical, financial or dispute records may need to be retained longer where applicable law or professional obligations require it; those requirements take precedence over the standard period. Records held by a treating consultant may be subject to that professional’s recordkeeping duties. We will explain any applicable retention exception when responding to a deletion request.
Information must be protected against unauthorised access, use and disclosure. We limit access according to role and purpose; no internet service can guarantee absolute security. This policy does not claim a security certification. Wix, Google Meet, Razorpay and associated infrastructure may process information in locations outside India. This policy does not promise India-only storage. Contact us for information about the provider arrangements relevant to your care; applicable transfer and data-protection requirements must be followed.
6. Data protection & your rights

We may request proportionate identity verification and will explain any lawful reason information cannot be deleted or disclosed. Withdrawal affects future consent-based processing and does not invalidate earlier lawful processing; it may affect services that need that information. Access to clinical records is also subject to applicable patient rights and professional duties.
We support applicable rights under Indian data-protection law, including the Digital Personal Data Protection Act, 2023 and Rules, 2025 as their relevant provisions commence. Where available under the law, these include information/access, correction, erasure, grievance and nomination rights. The DPDP framework has phased commencement. A privacy notice or consent checkbox is not a certification of compliance. You retain applicable rights to approach competent authorities.
7. Adults only
Our services and direct bookings are available only to adults aged 18 or over. We do not accept bookings for children through this website. Do not submit a child’s information. A representative acting for an adult must have lawful authority and follow the applicable consent process. Mental illness or disability does not by itself remove a person’s ability to make decisions about their care.
8. Website technologies and messages
Website and checkout providers may use cookies or similar technologies to keep the site functional, maintain sessions and protect transactions. Browser controls can restrict cookies, although some features may then stop working. Any optional marketing or non-essential tracking must be explained with the appropriate separate choice; booking consent does not authorise it. Contact us with questions about technologies used on a particular page.
Service messages relate to the enquiry, booking or care you requested. Optional promotional messages require a separate choice. External social links and Google Meet are subject to their providers’ privacy notices. Future self-care tools will require relevant privacy information before they collect data.

We will display the current policy version and effective date. Materially new consent-based uses require appropriate notice and consent.
